Sr. Business Operations Manager or Director depending on candidate

This role is a new position for our company that will fill the critical role of ensuring our company has the business processes in place to ensure we meet our customer’s requests. This position is responsible to support the overall productivity and effectiveness of the organization to ensure the end to end success from customer commitment through to the Resonant team’s execution. Depending on the individual, the position may report to the CEO, CFO or VP of Finance. This position also works closely with internal and external stakeholders to ensure the appropriate objectives and priorities are enabled within the organization.

This position plays a major role in problem identification and resolution within key initiatives by highlighting potential areas of concern and promptly driving resolution of issues that affect execution. Defining and developing processes to effectively drive and translate customer needs and requirements into detailed plans; execution of those plans; facilitation and management of cross functional teams; defining and implementing tools for the tracking and measurement of product/engineering/sales forecasts, program schedules and their impact on profitability; and doing what’s necessary to support the development of customer relationships. In addition, this position will support the tracking and development of tools to support our IP portfolio. It’s expected that this position will be required to manage more than one initiative simultaneously over a number of locations.

Forecasting & Sales Support

  • Build and deploy forecasting systems utilizing company’s defined sales process. Ensure the implementation of enabling technologies, including CRM, to field sales teams. Monitors the assigned sales organization’s compliance with required standards for maintaining CRM data
  • Coordinate sales forecasting, planning, and budgeting processes used with the sales organization
  • Work closely with sales management to inspect sales process quality and prioritize opportunities for improvement
  • Drive weekly updating and reporting. Proactively monitor and strive to maintain high levels of quality, accuracy, and process consistency in the sales organization’s planning efforts. As needed, coordinates planning activities with other functions and stakeholders within the firm
  • Work to ensure all sales organization objectives are assigned in a timely fashion
  • Assist sales management in understanding process bottlenecks and inconsistencies
  • Facilitate an organization of continuous process improvement
  • Monitor the credibility of sales forecast and develop efficient distribution of sales reports and other intelligence essential to the sales organization
  • Work closely with sales management to optimize the effectiveness of the firm’s technology investments
  • Coordinate sales enablement training and deliver to the sales channel, sales management, and sales support personnel in the sales organization

Order Management and Contract Administration

  • Implement and manage an order management process that will effectively communicate to the greater organization the needs of our customers
  • Work with finance team to ensure order management process links directly with cash, supply and overall financial reporting
  • Act as the primary POC, working with the rest of the executive team, to drive an efficient and effective customer contract process. Key areas of focus will be to ensure common terms are enabled where possible and internal business processes are set up to ensure adherence to contract terms

Planning, Organization and Target Setting

  • Set up / maintains program structure (timing, team, budget), plans required resources
  • Cascades & meets agreed program targets with team members: Profitability & cost targets, program budget, quality & technical requirements, capital & tooling budget, program timing/milestones, supplier & end item PPAP & customer targets,Quality & cost targets, technical & program objectives, specifications, , timing/milestones,
  • Develops program plans including timing, work plans, program milestones, critical path, risk management, cost/benefit analysis, staffing, and budgets
  • Plans sales and marketing team meeting schedules and timing for key meetings including technical and launch readiness reviews
  • Controlling / Managing / Problem Solving
  • Systematically manages program risks
  • Solves conflicts at this level and within the team
  • Escalates issues to Exec management that cannot be solved within team
  • Assigns necessary tasks and co-ordinates the different functions within the projects (Manufacturing, Purchasing, Engineering, Finance, OE Account management …).
  • Follows up task completion, ultimately responsible to deliver program on time

IP Administration

  • Support the ongoing development of the company’s Intellectual Property Administration working directly with the CTO
  • Specific areas include: Patents, Trademarks, Maskworks, Nondisclosure Agreements, URLs
  • Patent Law Firm Communications
  • Patent Portfolio Database & Weekly Update Reports
  • Patent Prosecution Document Archiving

Task Execution

  • Leads multi-discipline team; program launch team typically consists of purchasing, process engineering, manufacturing, launch engineer, sales, product engineer & quality
  • Receives and critically assesses design proposals from technical project leader with respect to cost, timing & manufacturing feasibility
  • Receives and critically assesses cost for price / engineering changes decisions/opportunities
  • Responsible for planning and follow-up of trial runs
  • Responsible for generating lessons learned and associated SOPs

Communication and Reporting:

  • Communicates to customer (timing, program status, change management) in customer language/format
  • Cascades / publishes information to team and reports to management by using program review templates
  • Ensures timely and complete update of program documentation
  • Records minutes of program meetings

Requirements

  • Previous experience in a start-up environments, preferably hard goods manufacture or working with contract manufacturers
  • 5-8 year experience in managing Sales Operations or Business Operations
  • Preferred to have worked closely with technical experts
  • College Degree required
  • CRM and Order management system familiarity
  • Previous program management experience a plus
